Description A respected government entity in Encinitas, CA, is seeking an organized and dependable HR Program Assistant to join their Human Resources team. This is a contract-to-hire opportunity, offering you the chance to contribute to a mission-driven organization while developing your HR skills in a government setting. The ideal candidate has a proactive approach, strong communication skills, and a keen eye for detail. Key Responsibilities: Administrative Support: + Manage daily mail processes, including sorting, distributing incoming correspondence, and preparing outgoing mail for delivery. + Serve as the first point of contact for inquiries from the general public, answering routine questions, and directing individuals to the appropriate HR staff or department. + Greet and assist visitors in navigating appropriate resources or HR services within the organization. Clerical Functions: + Perform a variety of general office duties, including screening and transferring incoming calls, taking detailed messages, and maintaining accurate records of communications. + Conduct data entry tasks to maintain and update employee records and HR databases. + Manage regular photocopying, filing, and electronic document storage tasks to ensure HR files are well-organized and up to date. + Coordinate preparation and distribution of materials for large mail-outs, including recruitment or benefits-related communication. Team Collaboration: + Assist in preparing onboarding materials for new hires and ensuring all necessary forms and documents are completed. + Support the HR team in scheduling interviews, coordinating meeting logistics, and generating reports or summaries of relevant data. + Stay informed about general policies affecting team members and communicate updates to employees. Requirements + 1-2 years of administrative or clerical experience; proven ability to manage multiple tasks simultaneously is a must. + Prior experience in HR, government, or public service settings strongly preferred. + Proficiency in Microsoft Office Suite (Word, Excel, Outlook) as well as general office equipment (printers, scanners, etc.). + Strong written and verbal communication skills, with the ability to effectively interact with the public and employees at all levels. + High attention to detail, organizational skills, and a commitment to confidentiality when handling sensitive information.
